What happens after you hit send

Serious exporters reply with clarifying questions—moisture method, sieve target, intended micro release, and whether you need organic transactional certificates. One-line FOB quotes without questions are not inherently fraudulent, but they are inherently thin; allocate time to validate.

Importers who attach a one-page table of tolerances (colour reference, foam height in dispersion if relevant, max fines) shorten negotiation loops because factories can self-filter feasibility early.

Working capital note

Even clean specs fail when buyers stretch payables past production cycles. If your treasury cannot cover leaf procurement while waiting for L/C or net-60 retail terms, fix treasury before you fix HS codes.

Exporters should symmetrically model 14–28 day post-shipment cash gaps when offering open account to new names—credit insurance premiums often land near 0.35–0.85% of invoice for acceptable buyers but exclude shady distributors by design.

Case: first-container wording fight

Composite. Buyer signed off on pre-shipment COA, then rejected on arrival citing “darker appearance” without a quantified colour spec. The fix that saved the relationship was not a lawsuit—it was agreeing L*a*b* ranges and a referee lab on the next three lots. Written drama is expensive; written tolerances are cheap.

Incoterms cheat sheet (conversation level)

EXW/FCA at factory gate—buyer owns export boxing discipline early. FOB Indian port—seller loads vessel; buyer insures ocean leg unless otherwise negotiated. CIF—seller buys minimum marine insurance naming typical Institute Cargo Clauses; buyer still owns import clearance. Whichever you pick, describe who pays THC, who pays detention if boxes sit—that single sentence prevents ten angry emails.

Always pair term choice with logistics cost literacy so you are not optimising acronym while bleeding on demurrage.

Attachment checklist before you press send

  • One-pager tolerances table (moisture method named)
  • Packing diagram with net/gross weights
  • Label artwork PDF (even draft) if import registration needs it
  • Organic: NOP/EU template numbers if applicable
  • Insurance expectations if you are not buying Institute clauses

Exporters who receive complete packs quote faster; incomplete packs get deprioritised behind serious buyers.

Naming your forwarder preference or explicitly saying “we will nominate” prevents accidental DAP assumptions.

Pre-shipment inspection (when to pay for it)

Third-party PSI at load port often costs $260–520 for a powder lot (varies by location and scope). Worth it when you are bridging trust after a micro scare or when colour spec is subjective. Not a substitute for arrival retesting—buyers still own receiving QA—but it reduces “surprise photography” fights.

Organic transaction timing

Organic certificates lag harvest realities. Ask for transaction certificate drafts early when crop year boundaries cross PO dates—EU buyers especially watch shipment windows versus cert validity. Organic marketing without that discipline is a 2026 recall invitation.

When buyers request additional declarations (GMO, ionizing radiation, allergens), answer in the same email thread as your RFQ so version control stays sane—attachments multiply fast.

After the exporter replies

Compare three written quotes side-by-side: nominal FOB is the last row you should read—moisture method, pack type, lead time variance, and retest policy dominate landed cost. Flag any quote that omits lot-ID plan; that omission predicts chaos at shipment.

Keep the same bullet structure when you iterate so threads stay auditable—copy failures often hide in reordered WhatsApp paragraphs.
